About the AEF
The ANA Educational Foundation (AEF) is the bridge that connects the advertising, marketing, and academic communities. Together, we educate and inspire the next generation of talent while advancing the understanding of marketing and advertising in society. As the engine that drives the Talent and Marketing Organization priority from the ANA’s Growth Agenda, the ANA Educational Foundation programs have diversity at their core. Many of our programs focus specifically on driving full equity and inclusion in our industry for current and future marketing and advertising leaders. We bring direct industry access to colleges and universities nationwide, including historically black colleges and universities (HBCUs), Hispanic-serving institutions (HSIs), and diverse-rich schools.

Operations and Event Manager

Position Summary
Reporting to the SVP of Partnerships, the Operations & Event Manager’s main responsibility is to assist with the AEF’s educational programs and talent initiatives, including AEF Honors Night and the Visiting Professors Program. The ideal candidate should be familiar with the advertising and marketing industry and passionate about the AEF’s mission and will have strong event management experience, be extremely detail-oriented, have outstanding follow-up skills, be able to manage the logistics and tech for live and virtual events; and build solid working relationships with academic and industry partners.

The AEF annually manages over 300 executive speaker engagements on campuses nationwide, multiple regional marketing conferences, the MADE Internship Program, the Visiting Professor Program, an annual fundraising gala (AEF Honors Night) and educational content on Our programs help advance the understanding of marketing and advertising on campus and provides a forum for exchanging ideas and valuable networking opportunities between top talent and leading industry organizations.

Major Responsibilities:

Event management

  • Co-manage annual AEF Honors Night:
    • Responsibility for entire billing and invoicing process
    • Managing donor experience from initial contact to event attendance
    • Setting up and managing information on AEF website and database
  • Provide all logistics and event support for the AEF Visiting Professors Program (VPP)
  • Responsible for scheduling and running all live and virtual AEF events. Must be proficient in Zoom and Microsoft Teams.

Financial management

  • Work with ANA finance team to reconcile revenue and make payments
  • Manage and follow up on billing/invoicing for university memberships and AEF Honors Night
  • Responsible for building our database and CRM capability across all AEF programs

Professional Experience and Qualifications

  • Bachelor’s degree from an accredited institution plus 1-2 years’ prior work experience at an advertising agency, client-side marketer, and/or media company
  • Preferred Qualifications:
    • Experience in billing and invoicing process and database management
    • Experience managing live and virtual events using platforms like Zoom or Microsoft Teams

  • Passion for fostering marketing and advertising talent, particularly of diverse backgrounds
  • Attention to detail and follow-up while handling multiple, deadline-driven priorities
  • Experienced relationship builder with excellent oral/written communication skills
  • Self-motivated and able to work both independently and as part of a team
